Privacy Statement as at 03/12/2022

1. Introduction

From 03/12/2022, Only people who have asked specifically to be included in our mail out list and

wish to receive information from Southampton Tenants Union will be retained. Southampton

Southampton Tenants Union Supporters maintains an MS Access Contacts Database. Everyone who

has contacted us is listed in the database. The information is held on a cloud address with access

limited to individual officers allocated and identified by the Southampton Tenants Union general

meeting. Access to the database information is thus restricted to the core group members of

Southampton Tenants Union

2. The Information We May Keep

We may collect, store and use the following kinds of personal data:

2.(a) information that you provide to us in person on sign-up form, e.g. your email address and

other personal information when you complete such as postcode, first and last name.

2.(b) Information that you provide to us so that we can record that you wish to be informed of

Southampton Tenants Union activities by emails and newsletters.

2.(c) information that you choose to provide to us and that you wish us to keep.

3. Your Access to the information that we hold on you.

3.(a). You are welcome to ask to see your information with no charge. At your request, we will send

you an image of your record as a *.jpg file attached to an email or whatsap message and sent to the

email address that you have used to contact us.

3.(b). You have the right to require us to delete any information about you that we have or to have it

changed by reducing the information or correcting errors.

We will process as described in 3(a) and 3(b) above, any request that uses the email address

matching our listed email address for you, that is closed with your name, and If these match the

information we have listed on the Southampton Tenants Union Access Database record that we

hold on you. If this information contained in your information request does not match, we will reply

asking for further identification information. We may ask you to put your request in writing to be

mailed to The Southampton Tenants Union Supervisory Group Privacy Officer, Flat 23. Kingsland

Court, South Front, Southampton, SO14 1JN, or emailed to southamptontenantsunion@outlook.com

4. Children’s Data

We do not knowingly process data of any person under the age of 16. If we come to discover, or

have reason to believe, that you are 16 and under and we are holding your personal information, we

will delete that information within a reasonable period.

5. Other disclosures

In addition to the disclosures reasonably necessary for the purposes identified elsewhere in this

enforcement agencies upon request only when required to do so in order to satisfy legal obligations

which are binding on us.
